Records Clerk

This is a civilian entry level position. Candidates must be at least 18 years of age and have a high school diploma or GED.

Employee scheduled to work Monday- Friday, 8:30 am - 4:30 pm, maybe subject to change. 

Essential Duties and Responsibilities:

  • Meets and greets the public, providing response to questions for standard information and providing explanation of well-defined rules; answers telephone calls, ascertaining the nature of the call, and directing it to the appropriate entity; takes telephone messages.
  • Performs basic record keeping duties, and maintains accurate filing of unit records, reports, and documentation.
  • Receives, processes, prepares and records civil court documents for service of process; enters and accesses civil process information in the Keystone database, generates a service sheet; enters information after the service sheets have been completed by the deputies; researches, compiles, and prepares files and documents within the civil process unit.
  • Receives, processes, prepares and records original warrants, to include felonies, misdemeanors, traffic capias, juvenile pick up orders and writs; enters and accesses Keystone database to enter criminal warrants; operates various law enforcement databases to include modifying, canceling, and validating of identification criteria for all wanted persons; matches criminal backgrounds from records to newly issued felony warrants for entry into MULES  system; confirms warrants. 
  • Performs a wide variety of essential unit administrative tasks, i.e., sending facsimiles and required copies of documentation; processing correspondence; responding to telephone inquiries, opens and distributes mail; enters data into various electronic databases, receives and stamps court transactions; files and copies documents; maintains logs and receipts. Performs some cash handling; receipts funds payable to agency; maintains agency checking account records; initiates checks; reconciles bank statement.
  • Other duties as assigned and reasonably qualified to perform.

 

Minimum Qualifications:

  • Possess a high school diploma or equivalent.
  • Ability to maintain accurate records; enter and retrieve data or information into a terminal, computer, or other keyboard device; type accurately with moderate speed; make arithmetic computations with speed and accuracy; work independently in the absence of supervision.
  • Ability to understand and follow oral and written instructions; communicate clearly and concisely, both orally and in writing; interact with the public tactfully and courteously; establish and maintain effective working relationships with those contacted in the course of work.
  • Ability to exert light physical effort in sedentary to light work; may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (less than 40 pounds); physical agility and balance for tasks, such as climbing, kneeling, bending, stooping and/or reaching for objects at or above floor level; remain in a seated position for extended periods of time at a keyboard or workstation.
  • Working knowledge of modern office terminology, procedures and methods; principles and procedures of record keeping; basic mathematical and accounting principles.

Starting Salary: $31,720.00 yearly plus benefits.
